Management of transport subscriptions in the Lucca solutions

Before you get started

With the mobility law for employees who commute using public transport, the employer is obliged to pay part of their subscription. The Lucca solutions help you gather information and communicate it to your payroll in just a few clicks!

Here is a comparison of the three Lucca solutions that can be used to manage transport subscriptions:

Annual subscriptions paid in one installment

These are transport subscriptions that are valid for 1 year and that are paid in one installment at the start of the period.

With Pagga Compensation, you can give employees the option to come and submit the amount covered or the total amount of the package. They will then be able to provide a supporting document that you will validate or not. Once approved, the price of the subscription will be visible and exportable in payroll.

Configuration

1 — Add an "Annual transport subscription" variable type. In an amount, included in the actual gross pay. (See: configuring the types of variable remuneration item [VRI])

2 — In "Approval circuit", add a "Freight cost" list

3 — In the approval circuit settings, add a branch to take care of the type you have created and that designates its approver. (See: configure a payroll variable approval circuit.)

4 — In the roles, give permission to submit variables on an ad hoc basis to your users and select the list you created in step 3.

Annual subscriptions paid monthly

These are transport subscriptions that are valid for 1 year and paid each month.

With Poplee Core HR, employees will be able to specify the dates and amount of the self-service subscription in a data item called "Travel ticket". Once alerted to this modification, you can report it in Pagga Compensation so that it is taken into account for the payroll each month without you having to take any action.

Configuration

1 — Create a multi-component and multi-occurrence data item that contains the following: start date and end date, subscription amount and receipt. (See: Create a composite data item in the HR folder)

2 — Add an alert on modification. (See: Create an alert on a data item)

3 — Add an FRI, fixed bonus, included in the gross and the real amount which is not proportional to the working time. (See: Configuring the types of fixed remuneration items (FRIs))

 

4 — As soon as you receive the update of your Poplee Core HR data item, you can enter the reimbursable amount on the employee's individual sheet in Pagga Compensation. (See: Adding/editing/deleting a fixed remuneration item (FRI))

One-time subscriptions

These are transport subscriptions of variable duration (1 day, 1 month, 1 semester, etc.) that are paid at the beginning of the period.

With Pagga Compensation, you can give employees the option to come and submit the amount covered or the total amount of the subscription. They will then be able to provide a supporting document that you will approve or not. Once approved, the amount of the subscription will be visible and exportable in payroll.
