Deploying Pagga Payslip independently within my company

Before you get started

You have just signed a contract with Pagga Payslip and you now need to install the app independently, right? This help sheet is made for you!

We will explain the different stages of the rollout of Pagga Payslip as well as give you the advice you need to get you started.

Before starting the installation

Before you start the installation, we recommend that you watch the following video.

It explains how Pagga Payslip works in a few minutes. Do not hesitate to check it out as well after the rollout and/or as soon as you feel the need.

You will have the option to import your previous payslips as part of this process, if you want. If this is your case, bear in mind that the imports will be done on a monthly basis, and therefore you should gather the files that you want to import before starting the rollout.

Installing Pagga Payslip

Meeting in the installation space

To install the app, go to the Solutions menu at the top right of your screen (1) > Check out the Lucca solutions (2).

Then click on Pagga Payslip (3). This action will redirect you to the Pagga Payslip installation wizard.

Pagga installation

You are now on the presentation page of Pagga Payslip. To install the app, you just need to click on the Install button.

If you don't see the Install button on this page, you need to contact your sales representative.

A first step tells you that you are about to start installing the app.

chrome_2023-07-18_17-38-06.pngBy clicking Next (1), the interface informs you that two new secondary roles will be created: Pagga - Administrator and Pagga - User.

These roles give users specific access to the solution according to their place in the company. Typically, employees with the Pagga - User role will only have the permission to upload their own payslip.

As for the administrators, they will be able to distribute payslips, access the solution's settings and also download all the payslips of company employees.

All you have to do is click on Install (2) for the installation to be effective. In a few seconds, the app is installed on your Lucca database and is currently only visible to you.

Configuring Pagga Payslip

The essentials you need to know

Welcome to Pagga Payslip! 🎉

To help you get started with the tool, find the essential points you need to know when you are new to Pagga Payslip.

Step 1 - Assigning permissions

On the Pagga Payslip app, there are two possible roles:

  • the Pagga Payslip - Administrator role for those who will distribute the payslips
  • the Pagga Payslip - User role which will allow each user to open their own payslips.

This first step will allow you to decide who to assign these two roles to. The assignment of the User role is done by establishment: all the employees of the establishments selected in the drop-down menu will benefit from the secondary Pagga Payslip - User role.

To assign the Administrator role, you can come and specify the names of the employees

The administrators named here will be able to distribute and open the payslips for all the establishments available on the Lucca database.

Step 2 - Passcode protection (recommended)

Additional protection can be enabled when an employee wants to download one of their payslips by asking them to enter a six-digit code received on their professional email address.

Although you do not have to enable this option, it is strongly recommended.

Step 3 - History recovery (optional)

When a new tool is rolled out, your employees will often want to retrieve some of their previous payslips in the tool.

During this history import step, we suggest that you import your old payslips so that they are available when your employees log in to Pagga Payslip for the first time. Imports are done monthly and there is no limit on the number of payslips to import.

This step is optional and you can skip it if you do not want to import your previous payslips.

Imports made from this module do not trigger notifications to employees. If you perform your history import after configuration, your employees will be notified.

How to import the history

Click on Import payslips from previous periods (1)

Specify the period you want to import (1) > Select the file to be imported (2) > Import (3)

You will only be able to import past periods. To import the current period, you must complete the settings beforehand.

In some cases, if there is the slightest difference between the last names and first names of your employees in Lucca and on the payslip, the app will ask you to do a manual link(1) to ensure that the payslip is distributed to the right employee.

Once all the manual links have been completed, you can move on to the next step (2)

To avoid having to do this every month, remember to align the first and last names of your employees either in Lucca or in your payroll software.

You now have a display of the number of payslips that will be sent via Pagga Payslip (1) as well as the number of payslips that will not be sent (2). All you have to do is Distribute payslips (3).

Once your distribution is complete, you can return to the History recovery screen (1)

Using this method, you can find the distribution which you have just performed. You can continue importing the previous months (1) or finalize the settings by clicking I'm done (2)

After clicking on I'm done, it will no longer be possible to go back to the previous steps. The settings of the solution will start according to the previously selected options.

No worries, if you want to change your mind and change a setting, you can do it later.

The settings are then configured according to the information entered in the different steps of the process. You just have to wait a few minutes without leaving the page.

That's it, it's done! 🎉

You have just finalized the settings of your app. You and your employees now have access to Pagga Payslip. You can now import your payslips for the current month. Now that the settings are complete, this import will notify your employees.
