[Rules-based accrual] Setting up seniority-based leave entitlements in Timmi Absences

Before you get started

Seniority-based leave entitlement is calculated in accordance with the collective bargaining agreement of the employee's establishment. The number of days they are entitled to depends on their occupation category, the number of seniority years and possibly their age.

This help sheet is all about setting up seniority-based leave entitlements. Historically they had a dedicated module, now they are defined in the accrual rules. Seniority-based leave entitlements can therefore be configured in the regulations in the same way as leave entitlements.

Setting up a rule

Introduction

Please note, in Timmi Absences you need to distinguish between seniority-based leave entitlement and leave entitlement subject to age and/or seniority:

- Seniority-based leave entitlement in Timmi Absences is when several days can be accrued in addition to the company's standard leave. This only happens in France. It is set up via the "Seniority-based leave accrual" button.

- Leave entitlement subject to age and/or seniority is when nominal leave accrual depends on age or seniority in the establishment. This system is international. It is set up via the "Leave accrual" button.

Note: this distinction is related to execution rather than configuration. Creating two types of rules means you can apply two distinct execution modes, which is required to manage these two use cases.

Process

Setting up a new seniority rule requires a target account and one or more accrual profiles to which it can be applied.

This is how you do it:

  • in Settings Accounts, create the account to be credited if it does not already exist
  • in Settings Rules Accrual profiles tab , create the accrual profile(s) if they do not already exist. To recap, accrual profiles are used to define which rules apply to employees
  • In Settings Regulations Accruals tab, create a new "Seniority-based leave accrual" rule
  • Configure the rule
  • Attach the profiles to employees in their user file if this has not already been done.

Set up in detail

The first two parts of the set up (Rule name and Profiles) follow the same principle as any rule.

 

  • Define the account to which entitlements are credited (1)
  • For each occupation category (2) or group of categories:
    • Define the thresholds that release seniority entitlements: a threshold is defined by an amount to be acquired, an age or seniority criterion and a condition (3)
    • You can have as many thresholds as you want to describe the entitlement corresponding to a given occupation category (4)
  • There can be as many threshold groups as occupation categories with different rights (5)
  • Accounts are credited annually by default
  • They can be credited at the end of the accrual period or at the end of the employees’ anniversary month (6)

Editing a rule

Seniority-based leave rules are edited from the Settings module.

View a rule

Seniority-based leave rules can be viewed in two places:

  • In the Settings module, in the same way as for setting up a rule.
  • In the Credit/Debit module, from the "View rule" button accessible when a rule is simulated.
