Introduction
While it's essential to know which job employees are currently working in, it's also important to be able to retrace their entire journey in the company in order to respond to various HR and organizational issues.
The Career section of the HR file lets you submit upcoming changes (new job, new manager, promotion to a higher grade) while retaining previous information. You can also add previous information to include in the employee's history.
An employee's career is represented by three concepts:
- Job assignment: lets you define the employee's job title and the department in which they work;
- Qualification: corresponds to the job that the employee does at a particular grade. Qualifications are defined in configurable framework which is explained in this article. If you want to activate qualifications in your Lucca space, please contact your help desk.
- Manager: who supervises the employee.
Each element is accompanied by an effective date, so that you can plan future changes.
How are careers managed?
The Career section consists of a home page which displays the information currently applicable, with access to the history for each element.
Submitting an upcoming change
To submit a change, you can click on the corresponding button in the main "Career" section. You can then indicate which changes you want to submit, along with an effective date. You then just need to enter the new information.
Viewing the history and editing assignments
Click on "Show all" in the different "blocks" to view the history and any future changes. The number of assignments is indicated in the main heading.
You'll then see the list of assignments sorted from most recent to oldest. From this interface, you can edit or delete certain assignments.
Transferring supervised employees
If you want to transfer all or some supervised employees, you can click on the corresponding button in the section's "management" block.
You can then select the list of employees to transfer and the effective date of the transfer (generally on the manager's transfer date or their departure date). You can also set an end date, if you ever need to use temporary management.
FAQs
What to do when an employee leaves the company
All you need to do is close the employee's current contract by entering an end date and, if relevant, a reason. You won't need to enter an end date for the various assignments in the Career section.
Is the history automatically updated with previous edits to this information?
No, edits made to the various data items do not let you determine the effective date of this edit. The data import module will soon get an upgrade to allow you to import the history of information related to the job (job title and department). In the future, the history associated with qualifications and management will also be available.
How can I update the career history of all of my employees?
You can enter an employee's career history via their HR file. If you want to do it for all your employees, an import module will be available soon. Initially, you will only be able to import job assignments.
Can I create a report on the history?
At the moment, the report module does not let you retrieve information on current assignments (or future assignments for a future employee or previous assignments for a former employee).
There are plans for a new reporting module in the coming months, in order to allow you to create reports on the history, along with current data items.
