New developments for the HR file (early 2023)

In early 2023, we made changes to the HR file to improve the efficiency of managing your employees' information, namely through the following upgrades:

  • Improved career tracking for employees via logged histories of key information;
  • Amendment creation for contracts, to allow users to better document contractual modifications;
  • Automation of the DPAE (pre-employment declaration) to the URSSAF service in France.

Tracking employees' careers

An employee's progression in the company is represented by multiple elements of information:

  • Their job title, indicating their role in the company;
  • The department where they work (generally their team);
  • Their manager;
  • Their qualification (which represents both their current job and their grade in the company).

This information was previously not logged in a history, so you couldn't trace the employee's career history or plan future changes.

The point of this development lay in responding to these two issues. To achieve this, a "career" section now lets you submit the jobs held by the employee, the qualification acquired through their career development, and the managers who have supervised them throughout their time in the company. You can also submit future changes which will apply from the selected date onward.

Contract amendments

Some changes in the employee's working life, like a transfer to another establishment, promotion to a higher status, or a change in working hours do not require you to create a new contract. All you need to do is add an amendment to the original contract.

You can now keep the employee's contract and submit these changes by associating them with an amendment with an effective date (date from which it will apply). This amendment will indicate the new establishment and/or the new occupation category. You can also add the corresponding document and, if needed, a comment to describe the changes associated with this amendment in further detail.

Automating the pre-employment declaration (DPAE)

The same ritual needs to be performed for each new hire: the declaration of the new employee to the URSSAF service in France, in order to establish their rights and adhere to your obligations as an employer in France.

This declaration is generally made by completing a form in your employer portal on the URSSAF website.
