Poplee Engagement: Configuring roles and permissions

Before getting started

Poplee Engagement is a tool to send engagement surveys to your employees and analyze the results. For this, it is important to set up the permissions for each user relating to sending surveys and analyzing results.

As an administrator, you can organize these roles directly in your Lucca space.

This help sheet provides a step-by-step guide to configuring roles in Poplee Engagement, and lists all permissions for Poplee Engagement.

In practice: how to go about it

The steps should be completed in the following order.

Step 0: Go into the "Roles" administration

Access to Poplee Engagement is managed via Roles administration. To access the solution, go to the Lucca settings cogwheel then Roles and permissions.

Access to the administration module is not always enabled by default during rollout. If you don't have access to this module, ask your administrator. If you are the administrator for Poplee Engagement, please contact the Lucca help desk.

Step 1: Assign a Poplee Engagement role to each user

Every user must be assigned a Poplee Engagement role in order for the application to work correctly.

When Poplee Engagement is installed, three secondary roles are created:

  • Poplee Engagement - Administrator for: HR managers, HRBPs, directors and the management team.
  • Poplee Engagement - Manager for: department heads and managers.
  • Poplee Engagement - Employee for: all employees at the company.

You can edit the permissions for each role if you need to. See paragraph, “In detail: the roles and permissions in Poplee Engagement” below for more information.

Refer to the dedicated help sheets on setting up roles in Lucca andassigning roles to users if necessary.

💡 Lucca top tip: the secondary roles are created by default. You can use them directly or replicate their associated permissions in your existing main roles.

Step 2 (optional): View and edit permissions associated with roles in Poplee Engagement

The permissions available in Poplee Engagement

Administrate the app - Configure settings for the app
- View all surveys for the organization
- Send surveys to all users within the organization
The "Administrate the app" permission doesn't give access to all results. For this, you also need to assign the "Results seen by Manager" permission.
Sending surveys - Send surveys to users in a defined scope
- For surveys sent by users: access all results and reply to comments
This permission doesn't let you see the results of surveys created by other users.
View full results (scores, comments and comparison dashboards) - View full results and reply to comments in the defined scope A PowerPoint export is available.

Roles set up by default

Secondary roles are created automatically when Poplee Engagement is installed, with our recommended permission settings.

Frequent changes to default roles

Show no results to employees

If you would rather not let employees see the results, simply uncheck the Results viewed by Employee permission in the "Poplee Engagement - User" role. It is still vital to assign this role to employees (even if none of the permissions are checked): this will allow them to respond to the surveys, receive replies to their comments, and exchange Blooms correctly.
