Before getting started
The creation of a DPAE (pre-recruitment submission) configuration can be done with total autonomy; this help page explains the steps to follow.
Certain permissions need to be enabled in order to access DPAE settings. Here are the permissions used for DPAE and what they let you do:
- Modify contractual information of employees: among other possibilities, lets you plan a DPAE, follow up on a DPAE, cancel a DPAE, and mark a DPAE as having been completed manually;
- Consult contractual information of employees: among other possibilities, lets you view the status of a DPAE;
- Manage HR file settings: among other possibilities, lets you view and edit a DPAE configuration.
You’ll need to enable these permissions for certain employees in order to be able to complete DPAE on Core HR.
A DPAE configuration lets you automate the submission process for one or more establishments.
A “DPAE” entry can be found in the “Settings” tab of the HR file. Go to the top and then click on “Create a new configuration”.
This article will walk you through creating a configuration.
Identifiers
The APIs for the URSSAF are used to send the employee’s data, their contract, and their establishment to the URSSAF. In order to use them, you need to enter your URSSAF identifiers, which are:
- The first name of the holder of an online URSSAF service account;
- The last name of the holder of an online URSSAF service account;
- The password used to log into the URSSAF service.
Please note that we will never store your URSSAF password. It is only used once for authentication purposes for the URSSAF services and to enable use of their APIs.
Establishments concerned
Here, you need to select one or more establishments to associate with this configuration, then enter the following information:
- The code of the URSSAF receiving the data of the selected establishments;
- The code of the occupational health service of the selected establishments;
- The start time for new hires (the time isn’t important; just enter any time you want).
You’ll need to create a configuration for each different URSSAF, occupational health service, and URSSAF online account to which your establishments are attached.
Data correspondence
At this stage, you should have custom data in your HR file, relating to employees’ place of birth and corresponding French department number. These two elements of data should also be associated with a section in your HR file. Otherwise, we’d recommend referring to the article "Adapting HR files for DPAE".
Other than the two elements of data mentioned above, Core HR knows which other elements of data from the HR file need to be collected and sent to the URSSAF.
In order for Core HR to know which data corresponds to the place and department of birth of your employees, you’ll need to ensure that the expected information corresponds to the custom data that you have created.
Here are two examples:
- You have created custom data for “Department no. of birth”, you can set it to correspond to the “Department of birth” field;
- You have created custom data for “City of birth”, you can set it to correspond to the “Place of birth” field.
Notifications
Emails will be sent to update you on the status of each DPAE. You can select who will receive these emails via three options:
- Notify by default the employee who creates the contract. If this is selected, this option will add the employee who creates a new contract as a recipient;
- Notify people inside the company. This option lets you add people inside the company as recipients (such as HR);
- Notify email addresses. This option lets you add email addresses as recipients (for example, generic email addresses like hr@company.com).
All of the recipients entered will receive emails for each DPAE.
Once all of these sections have been filled in, you can save the configuration. If needed, you can create additional configurations for other establishments, or you can edit existing configurations to update certain fields.
Now, all that’s left to do is create an employee so you can automate your first DPAE!
