Management of leave for specific populations: interns, agents, managers, work-study students

Before getting started

Some people, e.g. agents and trainees, do not acquire paid leave on a regular basis. However, you may want them to indicate their days of absence on Timmi. We explain how this is done, here.

Creation of a specific account

First go to Timmi Absence, Settings, then account.

You can then duplicate the "unpaid leave" account to give it the name you want, e.g. "trainee absence".

Creation of lists of accounts by population

You have created the trainee account, but you do not want everyone to access this account, just as you do not want trainees to have access to the other accounts (e.g. unpaid leave). It is therefore necessary to filter these accounts by creating dedicated lists.

Here are the recommended lists in this case: 

  • Classic absences: with all the legal and contractual absences as well as unpaid leave (be careful not to add the accrual accounts i.e. the accounts of paid leave or comp days)
  • trainee absence: simply with the trainee absence account
  • Agent absence: simply with the agent absence account, etc.

Adaptation of role settings

Given that the lists are ready, the employees' roles must be adapted.

First go to the roles of users and managers to simply give them access to "classic absences" on the "submit and cancel a request" permission:

You can then duplicate the "user" role to create a "trainee" on which you will add a "trainee" filter on the "submit and cancel a request" permission:

For the agent, it is advisable to duplicate the role of administrator by removing the permissions that will not be used by them. Here is the linked help file: Configure roles on Lucca.

You can follow this approach for different populations: work-study students, external workers, etc.
