Before getting started
The export module in the Poplee HR file lets you retrieve all employee data created or edited since the last export.
Managing the table of correspondence between the data in the HR file and the data in the employee record from your payroll tool lets you import the file generated in Poplee into your payroll without manually having to reprocess its content.
Setting up correspondences for data to be exported
Correspondence management can be accessed via the export setup screens (you need to have the "Configure exports" permission in the Employees app).
The correspondences set up are specific to each export configuration.
From the Employees > Export menu, click on the export configuration that you want to set up; you can access the "Export data" tab.
Click on a data item to access the setup for correspondence protocols.
Correspondence management protocols
For each of the data items, select the behavior required at output in your export file:
If there is no correspondence set up, by default, it will be the value of the data item, as it is stored in your Lucca database , which will be generated in the export file.
- Use the Lucca value (by default): the value of the data item exported will be identical to the value stored in your employees' HR files.
- Block the export: on each occurrence, the data item must match a correspondence value. Poplee checks that each data value for employees within the scope of your export is correctly matched with a correspondence value; otherwise, an error is shown and the export is blocked.
- Use a default value: you have the option of saving a generic value to apply to each occurrence of a data item.
Please note: you cannot specify a correspondence protocol for "date" data items. The value used in the export file must be the Lucca value. However, you can customize your formatting (length, framing, and completion character).
In addition, you cannot specify a correspondence protocol for child data items (simple data item attached to a compound data item). You'll need to detach the data item from its parent or waive the correspondence.
Customizing the formatting of a data item
If needed, you can customize the formatting of the value of each data item in your export file. The length (1) of the value of the data item that will be generated in the file, its framing (2), and the completion characters (3) can be set up.
Customizing the header line of your file
If your setup requires the generation of a header line in your export file, the Export code field (4) lets you customize the column header for the data item in question. By default, this header is populated with the code assigned by Lucca for each data item created in the HR file.
