Before getting started
It can be used to export all new data since the last export, without a time limit.
Timmi Absences allows you to export your employee absences to an external badging system type software. There are two ways to do this:
- Real-time synchronization: sending absences in real time by API. For more information, here is the synchronization module help page.
- Export absences in a file: export in the automated or manual format used by your software. The file can be uploaded to an FTP client and then imported into your software.
Which option you select depends on the technical capabilities of your external software.
This article explains how to export absences in a file.
How it works
The single export module allows you to choose to export all absences validated or deleted since the last export (full export).
The module can be accessed from the Exports menu.
By clicking on the required configuration, you will access the management interface that provides access to the export history. Each file can be downloaded individually.
You can also cancel the last export.
Important: Canceling an export is recommended if the file has already been imported into the target system. If you do the export again there may have been new or deleted absences in the meantime, which can create a discrepancy with the absences already imported.
Manual export
You can export absences manually from this screen by clicking on the "Export" button. All new absences approved or deleted since the last export will be exported.
Configuration
Implementing a badging system export is a service provided by our team of consultants.
Timmi Absences is compatible with the leading badging system software solutions (Bodet, Horoquartz etc.). It is also possible to configure specific formats. Contact the help desk with details of your preferred export format to check whether it is compatible.
If your format can be configured, we will ask you to send us the code required by your badging system to finalize the export configuration for each leave account to be exported ("paid leave, remote working etc.").
Please note, when you add new leave accounts in Timmi Absences, you must configure them in the badging system export module so the associated absences are exported (as for the payroll export module).
General settings
From the exported files access page, you can edit your export configuration.
In the general settings tab, you can configure:
- the export name: allows you to differentiate exports on the main page, for example if you have several exports in the same format for different establishments;
- the relevant establishments: all employees of these establishments will be affected by the export;
- file uploads to the FTP server;
- automation: select frequency and time of exports.
Sections
In the sections tab, you can manage the correlation between Timmi Absences leave accounts and the badging system software. You must have one section for each badging system absence type.
Each section contains:
- a code: identifies the absence types (and a specific code for half-days if there is one);
- one or more Timmi Absences leave accounts.
For leave accounts in calendar days or working days, there is an option to export only business days.
If you do not want to export certain absence types, you must exclude the accounts from the export using the Do not export section at the bottom of the section list.
All leave accounts must be linked to a section or explicitly excluded.
