Can I delete an employee file?

Before getting started

When an employee leaves your company, the tendency is to want to delete their user file. This article will help you to better manage the files of your former (or soon-to-be former) employees.

There's a feature which lets you "cancel an employee's arrival" in the event of a withdrawal. The only condition is that the date of the first day of their contract must not be in the past. Otherwise, you'll need to follow the steps below.

Contract end date

When an employee leaves the company, best practice typically requires you to note the contract end date in their file, either in advance of or after their departure, if this date wasn't already found in the file.

To do this, simply go to the Employees > HR file module and use the search bar to pull up the employee in question. Click on the "Contracts" section, then on the current contract. The Close contract button: you'll be asked to enter the contract end date for the employee.

From the selected date, the employee will cease to have access to the platform and will no longer appear in the Who's who or the Timmi Absences Schedule, for example.

Finding former employees' files

If you have the permission in "Roles", former applicants will be displayed in the results with the tag "Former". Click on the name of the selected employee to access their HR file.

Right to be forgotten module

Following the European General Data Protection Regulation in 2018, we created the right to be forgotten module. You can view the corresponding file by clicking on: Right to be forgotten module
