Use absence to be justified

Before getting started

From the "Schedule management" module, you can manage absences for one or more employees (schedule/edit/cancel an absence). However, you can also declare days off or days worked.

This article deals with a very specific absence: an absence "to be justified".

Absence "to be justified"

When an employee is unexpectedly absent, we recommend entering the event in Timmi Absences, using the "Absence to be justified" account (requiring requalification).

An absence to be justified can be entered at Schedule management > Manage absences once the employee reports an absence to their manager or the HR team. 

This absence is temporary: it will not be exported to payroll. It must be recategorized or deleted, depending on the supporting document provided by the employee (sick leave, scheduled leave, or absence without pay, erroneous entry, etc.).

Scheduling an absence "to be justified" for an employee

To schedule an absence for an employee, you need to:

  1. select the employee from the drop-down list.
  2. select the absence period
  3. select the "to be justified”, account from the list of accounts
  4. determine the people who will be notified of this absence: generally the employee and their manager, and the person who reported the absence
  5. enter a comment if needed
  6. click on the "save" button.

How to track these absences and re-categorize or delete them?

Once passed, these absences can be found in your administrative tasks. They are centralized in the "To do list" menu, under the "Absences for which the reason needs to be specified" section.

If you are expecting to receive further details from the employee, you can send them a reminder from this menu by clicking on the "Remind" link.

As soon as you know whether sick leave or normal leave needs to be scheduled for the employee, you can click "Requalify". Timmi Absences then takes you back to the "Schedule management" menu for this employee, and preselects this absence so that you recategorize it into an account (to be selected from the drop-down list):

Timmi Absences will let you know which movement will be completed: deletion of the temporary absence "to be justified" and scheduling of leave, sick child leave or sick leave.

Indicate on the right-hand side, the employees to be notified of the recategorization of the absence, and save the change. The absence to be justified can be deleted if, for example, it had been entered by mistake.
