Before getting started
Depending on the type of campaign launched by the administrator, you may be assigned as the reviewer for several reviews, e.g. for your team.
In order to help you prepare consistent summaries for your supervised employees, the "Grouped preparation" option has been put in place for the review preparation and completion steps.
Preparing for several reviews
When you click on “Carry out a grouped preparation”, all the reviews suitable for grouped preparation are selected, i.e. those of the employees in the “In preparation by” and “To be completed” columns.
It is possible to uncheck an employee (1) if necessary, and to go to the grouped preparation step by clicking on the button at the bottom of the page (2).
Then fill in the summaries for each employee, grouped by question.
These are all part of the same campaign and can therefore be compared. Finally, save your report preparations by clicking on the button at the bottom right.
Understanding the information reported in the recent changes
In some campaigns, your recent changes may be displayed in the banner to the left of your review form: your latest department transfer, change in job description, change of manager...
Examples:
- if a change was made on 01/01/2024 and a review is launched on 12/01/2024, then the “recent change” note will appear
- if a change was made on 12/31/2024 and a review is launched on 01/01/2025, then the "recent change " note will not appear
Conducting a review as a reviewer
The campaign is ready: managers will be able to organize reviews with their supervised employees. The product team designed the “Under my responsibility” module for this purpose.
Once the campaign has been launched, the reviewer will be able to carry out reviews with the employees they supervise via the “Under my responsibility” menu:
They will then be able to select the employee with whom they want to conduct the review. Moreover, they can also carry out a group preparation.
If the campaign requires validation by the employee, they can then find the read-only report in the list of reviews in the "Pending validation" category.
HR messages: drawing the attention of HR to a review
As a reviewer, you can send a specific message to HR asking for targeted action: an unsuccessful request, an underlying problem not addressed in the report...
Creating an HR message
From the "Under my responsibility" module where you have access to the reviews under your responsibility, you can find the name of the campaign owner and a link to create a message:
Click on "Create an HR message":
The message written in this area will be sent to the campaign owner by email and can be seen on the report by the employee concerned.
You can edit it by clicking the "Create an HR message" button again.
Analyzing reviews under my responsibility (manager)
Once the first reviews have been completed, you can find the answers in the Under my responsibilitytab. This space allows you to analyze the content of the employee reviews you are directly responsible for.
Get an analysis of a precise scope
In fact, if your employees being evaluated are located in several departments and you wish to perform an analysis on a specific department, you can easily do so using the Filters button in the top right-hand corner of your screen. You can reset your filters and hide the panel for easier navigation.
Target the responses for one or multiple questions
Do you want to focus your analysis on one or several questions in particular? No problem: the question panel lets you find them through the search bar. The panel is collapsible to make it easier to read the page. You can reopen it by using the arrows on the edge, as shown below
Information on questions
For each question, you can find:
- the participation rate as a %: for an optional question.
- the number of answers: for a mandatory question.
NB: For star/scale/list questions, a comment without a value and a value without a comment are both considered as an answer.
Exporting the responses
An "Export" button at the top-right of the screen lets you retrieve:
- Responses to questions via a CSV (Excel) file for reviews completed as of the date of export.
- The status of the review goals (if there is an goal question) via a CSV (Excel) file on the export date.
