Managing editing and visibility rights for your HR file

Before getting started

The HR file in the Poplee Core HR solution is organized into sections, each of which is made up of data items.

This sheet will allow you to set up the visibility rights for the sections of the HR file, along with editing rights for the data composing them.

The viewing and editing permissions for HR file sections are managed via role administration.

Managing visibility rights for a section

The visibility rights for the HR file are set up for an entire section. You can't set different visibility permissions for data items in a single section. If you want to grant different access rights for different data items in a section, you'll need to create different sections for them.

To manage visibility rights for a section, go to the cog wheel settings icon at the top-right, then click on the role for which you want to define/edit the permissions.

Go to the "Employees" solution and edit the "Consult HR files" permission.

To start with, add all of the sections that can be viewed by the role in question, and define the visibility scope for each one.

The "User" scope will authorize employees associated with the role to only see their own sections.

The "Supervised employees" scope will authorize employees associated with the role to access the information of any person indicated as being one of their supervised employees in the user file. 

As managers have access to their own information and those of their supervised employees, you'll need to enter the sections twice with different scopes, "user" for themselves and "supervised employees" for their team.

Managing data edits within a section

To manage editing permissions for a section, the principle is the same as the one for visibility rights.

However, you can refine these settings for data items individually. In order to allow a data item to be edited, you need to define it as editable in the HR file settings:

Follow exactly the same steps as you would to access the visibility permissions. Scroll down a little further in the permissions to find the permission entitled "Edit HR files".

Just like you did for visibility permissions, add the sections containing data items that can be edited using the "+" icon and, for each section, define the edit scopes that you want to set for the role:

To define which data items can be edited, go into the HR file settings and click on the section in question:

Select all of the data items that you want to make editable:

Please note: It is important to remember that these two actions must both be completed. If you authorize edits for the section and no data items are selected as editable in the HR file settings, users associated with the role will not be able to edit any data within the scope that you have defined.

"Super edits" for administrators

The only exception to this is found in the permissions for "Super edits". "Super edits" authorize the editing of data items even when they're not selected as "editable" in the HR file settings.

You therefore must ensure that Poplee Core HR administrators have access to all sections for "Super edits" for all employees with the scope "All departments".
