Before getting started
This solution is based on the Niko Niko method for tracking team motivation, used in agile management to help employees and managers communicate better.
We're proud to share this app—which is based on a system our own teams have been using for a long time now, in the form of a whiteboard with magnets installed at the entrance of our offices—with you for free, along with our feedback.
Introduction
The Lucca Mood app lets employees rate their day by choosing among four perception options.
This means that, at any time, teams and managers can view a dashboard that displays the average response for the week and the participation rate in real time, with a two-week history.
Average and participation
The average and participation are calculated based on the visibility scope. This way, an employee who only sees their own department will only see the average and participation for their department, whereas a department manager who sees their department and all sub-departments within it will see the average and participation for their entire scope.
Calculation of the average
One red day equals 0; orange = 2; yellow = 3; green = 5.
The average displayed will be:
- Red between 0 and 1 (inclusive).
- Orange between 1 and 2.5 (not inclusive).
- Yellow between 2.5 and 4 (not inclusive).
- Green between 4 and 5.
Step 1: Customize the interface
By default, as the rollout initiator, only you have access to the app. You can customize the interface according to your company's needs: mood, workload monitoring, etc. You can access the app via the Solutions menu.
To open the configuration options, click on the cog wheel icon at the top-right of the app:
You can choose the following elements:
- Page title
- Description of the title that you've customized
- Any translations required
- Activation of smileys (replaced by dots)
Step 2: Activate the app
In order for you to be able to open the app up to your employees, you then need to define "Who needs to do what"
The visibility scope for the Lucca Mood dashboard can be set up in the Roles module, which can be accessed via the cog wheel icon.
Once in the role interface:
(1) Select the role for which you want to activate the app (user and manager for most cases)
(2) Click the "+" button found to the right of Lucca Mood.
(3) Activate the permission "View the current and previous week for" and specify the visibility scope that you want to use for this role.
You'll see several possible access scopes:
- Departments from level N: This scope covers all users assigned in the level-N department and its sub-departments from the same level as the employee with the role. This means going up the department tree from the position of the employee with the role up to level N, and then retrieving the list of all employees belonging to this branch of the tree.
- Department and subs: This covers all employees belonging to the same department as the user with the role, as well as all those who belong to any sub-departments.
- Department only: This includes all employees belonging to the same department as the user with the role.
- User: This is the user with the role.
- Supervised employees: This covers all employees whose manager is the user with the role. Very convenient for setting up a manager role!
The Lucca Mood table is adapted to provide a team-by-team display. We recommend activating the "Department only" scope for all roles.
If you want a sole employee to have access to their responses , and only their responses, you can select the "User" scope.
In the case of managers who have supervised employees in different teams, you can extend their scope by adding the "supervised employees" scope.
Step 3: Let your employee know they can access Lucca Mood
Once you've activated access to the app via roles, your employees will see a new access point available in the Lucca Solutions menu.
Alternatively, they can access it via the Lucca home page:
When you get your rollout email, it will contain an example of an internal communication you can share with your employees.
Bonus: Add Lucca Mood to Slack
You can give your employees instant access to Lucca Mood via Slack. If you click on the cog wheel icon in your Lucca Mood app and if you have administration permissions for the app, you'll find the [Add Slack] button.
When you click on it, you'll be able to see all of the elements of information shared with Slack.
