Poplee Core HR sends users various notifications. This help sheet explains these notifications and how they work.
HR file
The HR file is the source of multiple notifications:
- Creation of a user
When you create a new user, an email is sent to them at their professional email address. This notification can be deactivated on a case-by-case basis before saving their information.
- New password generation email
If an employee forgets their password, via their HR file, you can trigger an email that will allow them to reset their password (in the section Login > Password management).
- Alerts on modification
You can set up warnings that will trigger notifications when an edit is made. They can be configured in Employees > Settings > Warnings. You can select the data items to be monitored, as well as the recipients of notifications when these data items are edited.
- Alerts on due date
You can set up alerts on due date that will trigger notifications when a given due date is reached. For example, you could choose to send a notification to new employees one month before the end of their trial period.
Onboarding
When you initiate an onboarding procedure, multiple emails are sent:
- A welcome email
An email is sent to the future employee to welcome them and to ask them to provide certain information in a form.
- Notification of pending tasks
All task owners are notified when you initiate an onboarding procedure.
- Task reminder
Seven days before the due date of a task, the owner receives an email.
- Late task
Once the due date has passed, the owner receives an email each day, reminding them that they need to complete the task. If they don't want to receive the reminder, they need to either mark the task as completed or postpone the due date.
- Completed form
Once the form has been completed by the future employee, the initiator of the onboarding receives a notification email. They'll also receive a notification for each edit made to the form.
- Submitted form
Once the form has been completed, the future employee receives a confirmation email.
Offboarding
All task owners are notified when you initiate an offboarding procedure. Just as with onboarding tasks, a reminder email is sent seven days before the due date and then an email is sent daily once the due date has passed.
Update requests
A notification email is sent when you submit an update request. You can also send reminder emails to users who haven't completed the form.
HR campaigns
When you launch an HR campaign, all task owners are notified. A reminder email is sent seven days before the due date and then an email is sent daily once the due date has passed.
Exports
You can automate the generation of employee data exports. This automatic generation can trigger an email being sent.
Reminder emails
By default, each user receives a weekly reminder email on Monday morning to notify them of all to-do list items across all of the Lucca apps. The settings for these reminders can be adjusted and configured by each user in My account > Notifications. You can either deactivate these emails or activate them on a daily basis.
