Notifications in Poplee Core RH

Poplee Core HR sends various notifications to users. This help sheet lists these notifications and how they work.

HR File

The HR file is the source of several notifications:

  • The creation of a user

When you create a new user, an email is sent to the latter, on his professional email address. This notification can be deactivated on a case by case basis before saving the information.

  • The email to generate a new password

When an employee forgets their password, you can send an email from the employee's HR file to reset the password (Login > Password management section).

  • Modification alerts

You can set up alerts that will trigger notifications when a modification takes place. They are set up in Co-worker > Settings > Alerts. You can choose the data to be monitored, as well as the recipients when they are modified.

  • Deadline alerts

You can set up deadline alerts that will trigger notifications when a particular deadline is reached. For example, a notification can be sent 1 month before the end of the probation period for new employees.

Onboarding

When you trigger an onboarding procedure, several emails will be sent:

  • A welcome email

An email is sent to the future employee to welcome them and ask to fill in some information through a form.

  • Notification about tasks to complete

All task managers are notified when you start an onboarding procedure.

  • Task reminders

7 days before the deadline of a task, the manager receives an email.

  • Pastdue task

Once the deadline has passed, the manager receives an email each day to remind them to perform the task. To avoid receiving the reminder, they will either have to indicate that the task is done or shift the target date.

  • Completed form

Once the form has been completed by the future employee, the onboarding initiator receives a notification email.

  • Submitted form

Once the form is completed, the future employee receives a confirmation e-mail.

Offboarding

When you initiate an offboarding procedure, all task managers are notified. Just like onboarding tasks, a reminder email is sent 7 days before the target date, and then one email per day once the target date has passed.

Update campaigns

A notification email is sent when you launch an update campaign. It is also possible to send reminder emails to users who have not completed the form.

HR Campaigns

When you launch an HR campaign, all task managers are notified. A reminder email is sent 7 days before the target date, then one email per day once the target date has passed.

Exports

You can automate the generation of employee data exports. This automatic generation can trigger an email sending.

Reminder emails

Each user can set up daily or weekly reminder emails to be notified of all actions to be performed on all Lucca applications. These reminders can be configured in My Account > Notifications. It is possible to disable such emails.
