Before getting started
Depending on your input mode, there are several tools available to help you fill out your timesheet quickly and easily.
-
If you're in "Activity" mode (your employer wants you to enter the times you worked on specific activities), you can:
- Save your "favorite" activities from one timesheet for future timesheets
- Copy the previous week if your timesheet is very similar to the one for the week before
- If you are in "Attendance - Schedule" mode (your employer simply wants to know how many hours you worked, without going into specific activities), you can pre-fill your week with a favorite schedule if this differs from your default, contractual working times
This help sheet provides explanations and guidelines on using these features.
Activity mode
By default, your timesheet is pre-filled with your absences entered in Lucca Absences, along with public holidays and other exceptions to your company's schedule.
Save your "favorite" activities from one timesheet for future timesheets
If you regularly work on one or multiple activities, click on the star to add them to your favorites:
Your favorite projects will then automatically be displayed in all your new timesheets. You can un-favorite projects by clicking on the star again.
Follow Noël Flantier's example; here he works on both of his projects "Hotel vert" and "Projet Rose: KPI - dashboard" every week:
Copy the previous week
If your working week is very similar to the previous one, you can copy it in just one click, using the [Copy previous week] button which is next to the Add [New activity…] button. Please note: This copy overwrites all other entries in progress.
Follow Noël Flantier's example and send your timesheets for approval in just two clicks when you have similar consecutive weeks.
Attendance - Schedule mode
Your timesheet is pre-filled based on your contractual working times, as defined by your employer in the Lucca Timesheet settings, along with your absences entered in Lucca Absences and any public holidays and exceptions to your company's schedules.
Setting up a favorite week
If you want to enter a different schedule that better reflects your usual and regular working schedules, you can set a favorite schedule to edit your timesheet in just a click.
Choose a week that best represents your regular schedule and mark it as a favorite week through the Configure my favorite schedule menu. The only restrictions regarding the choice of week are that it should be in the past, and it must not contain any exceptional events (absences, public holidays, leave, etc.).
If you already have a favorite week set up, you can find the settings menu by clicking on the small arrow (v) to the right of "Configure my favorite schedule".
Apply favorite schedules
Once you have configured a week, you can apply this schedule to each timesheet in just one click. Please note: This pre-filling features only works for your own personal timesheets.
For example, if, like Valentin Bresnier, your usual schedule is not 9AM–12PM and 1:30PM–5:30 PM, instead it is 8AM–12 PM and 1:30PM–4:30PM, as that's when you go to pick up your children from school, you can set up the favorite schedule so that your timesheets are automatically pre-filled.
