Manage my part-time employees

Before you start

There are two ways to manage the leave entitlements of part-time employees, depending on whether or not you prorate their leave entitlements.

This choice has an impact on the counting of days of absence: when the rights are not prorated, the days of absence for part-time are counted, and conversely they are not counted when the rights are prorated.

The jurisprudence recommends not to prorate the leave rights of part-time employees but, in practice, many companies find it easier to prorate the rights.

Non prorated leave

From the module Settings > Accounts, you can define if the leave rights of the part-timers are prorated or not at the account category level.

To modify this setting, click on the pen icon to modify the desired account category (the account categories are displayed in bold), and go to the Part-time section.

Leave entitlement profile for part-time employees

Part-time employees should have a similar profile to full-time employees: 25 working days or 30 working days. To change or check the leave entitlement profile of your employees, go to Employees > User records. Select the user's record and check the Timmi Absences profiledata.

The Labor Code also states that the calculation method must be the same for full time and part time employees and must not be to the disadvantage of the employee.

In order to respect this, the method of counting part-time work that is not prorated is as follows

- all days between the first day of leave (actual absence excluding part-time days) and the day before the resumption of work, excluding weekly rest days and public holidays, must be counted.

- In order not to disadvantage one population with respect to the other, it is customary to ensure that no more than 5 days of part-time leave are counted as paid leave.

Example: if an employee on part-time work on Wednesday without prorating takes a week off, 5 days will be deducted. If 5 Wednesdays have already been deducted, then 4 days will be deducted.

Days worked by part-time employees

In order to define the days worked by the employee so that they are displayed in his schedule and that the count is correct, you must create a work cycle for him. To do this, you can consult our help sheet on this subject.

Once the work cycle has been created, you must enter it in the user's file.
To do this, go to Collaborators > User files. Select the user's file and modify the Work cycle data.

Manage prorated part-time work in Timmi Absences

The proratization of leave rights for part-time employees requires that you manage your leave in working days and that your payroll software is configured accordingly.

Prorated leave

From Settings > Accounts, you can define if the leave rights of part-timers are prorated or not at the account category level.

The prorating of part-time leave rights is only possible for accounts managed in working days. Indeed, it has no meaning for vacations in working days or in hours:

  • in working days: all non-working days are deducted, except for weekly rest days and public holidays.
  • in hours: all days are deducted according to the duration of the theoretical working time defined in the work cycle.

To modify this setting, click on the modify icon of the desired account category (the account categories are displayed in bold).

Leave entitlement profile for part-time employees

The leave entitlement profiles assigned to part-time employees must be prorated according to the number of days worked per week.

Example: if an employee does not work one day per week, then he will not acquire 25 CP but 20 CP (25*80%). The profile 20 CP + 12 RTT below is a part-time profile at 80%.

To modify or check the profile of your collaborators, go to Collaborators > User files. Select the user file and check the data Timmi Absences Profile.
