Manage a part-time or flexible full-time employee

Before getting started

Timmi Absences allows you to manage employees working less than 5 days a week by configuring a method of accruing and counting specific leave. 

Your payroll software needs to be configured in the same way as Timmi Absences. 

Part-time with pro-rated accrual

The employee accrues leave entitlements prorated to their working time (a person working 80% of the time accrues 0.8 x 25 days paid leave = 20 days paid leave annually). When requesting leave, only the days usually worked are counted.

To configure this operation, three steps are needed. 

  1. Go to the gear icon > Organisation > Workcycles. Configure the employee's work cycle and assign it to them in their user page
  2. Create a new accrual profile and attach it to the employee
  3. In Settings > Accounts, for each category used (paid leave, seniority etc.), click Edit category and check the status of the Part-time setting: Count only the days usually worked Modifier_la_cate_gorie.png Parame_tre_Temps_partiel.png

Part-time without prorated accrual

The employee accrues the same number of paid leave days as a full-time employee, so no changes are required to the Timmi Absences accrual profile.

However, the counting method is specific: The absence starts from the first day on which the employee would have worked if they had not gone on leave and continues until the employee returns to work. Click here to see more information about counting.

To configure this operation, two steps are needed. 

  1. Go to the gear icon > Organisation > Workcycles. Configure the employee's work cycle and assign it to them in their user page
  2. In Settings > Accounts, for each category used (paid leave, seniority etc.), click Edit category and check the status of the Part-time setting: Count all the business days of the absence period.

Flexible full-time

A flexible full-time employee works the same number of weekly hours as a regular full-time employee in less than five days a week. They accrue the same amount of paid leave as a regular full-time employee.

To configure this operation, only one step is needed. 

1. Go to the gear icon > Organisation > Workcycles. Configure the employee's work cycle and assign it to them in their user page

Count monitoring

For part-time work with non-prorated accrual or flexible full-time work, you might want to monitor the number of absence days counted against business days not worked.

These details are available in the employee's Annual summary window (can be accessed in the bottom right of their Request page). They are shown in gray under the number of absence days.

You can also generate an absence report (Reports > Custom reports > Absences) by looking at the Count on non-working time entry indicator (Edit columns > Columns to add > scroll to the bottom and select this indicator).
