Tackling the "To Do List"

Background information

As an administrator, the To do list module can alert you to actions you need to take to manage your employees’ absences in Figgo.

The to-do list is available in the ‘To do list’ tab. These are the different types of to-do list items:

Credit employees arriving during the year

You will only find users here if you have an annual credit for recurring counters (e.g. RTT or Annual Leave).

This task only appears if you have an account with entitlements that accrue in full at the start of the period. For example, if 10 days of annual RTT are credited on 1 January.

It shows employees who arrived after entitlements were credited. The number of days they should be credited is calculated by Figgo based on the number of days present in the 12 months following the accrual date.

You can change this value manually and either credit or not credit entitlements.

Debit employees leaving during the year

Just like crediting employees who arrived during the year, you will only find users here if your recurring accounts are configured so that your employees get their annual balances in full at the start of the period.

If an employee leaves during the year and they were credited for all the days at the start of the period, they will appear in the list with a suggestion to adjust downwards.

You can also change this value manually and debit or not debit these days.

Absences requiring supporting documentation

These are all absences that require proof (e.g. Marriage, Birth, Funeral, etc.).
These absences appear in your dashboard when the leave date is before or equal to today.

As soon as a user provides you with a supporting document, simply bring the mouse to their name and click on ‘Balance this account’.
The user’s account is then automatically recredited and the line disappears from their counter table.

Leaves for which the absence type must be specified

These are ‘Absences to be justified’, which you entered via the ‘Manage the schedule’ module as an administrator.

You should update the user’s schedule as soon as the they provide you with the reason for their absence.
When you point the mouse to the absence in question, Figgo offers you the option to ‘Qualify the leave’.

When you click on the link, you are automatically redirected to the ‘Manage the schedule’ module, and the schedule for the employee in question opens. You can then enter the leave by selecting the actual reason for the leave (e.g. sick leave).

Abnormal debit balances

These are accounts with a debit balance even though this is not authorised in Figgo.
Debit balances are not permitted in two cases:

  • In the account settings (Configure > Accounts), the permission for ‘A leave request exceeding the number of days available at the end of the month’ on this account is: ‘Prohibited’.
  • If the accrual period for this account is closed.

In most cases, an abnormal debit balance is due to an action taken by an administrator via the ‘Manage the schedule’ module. In fact, the administrator’s permissions allow them to ignore blocks linked to account settings.

Examining the account, Figgo allows you to click on ‘See account details’ to find the source of the error.

Pending past requests

This section shows all requests pending approval with a start date prior to today’s date. You can remind the manager by email.
