Before getting started
Timmi Absences enables employees to attach supporting documents (JPEG or PDF) to their absence requests and then view them.
Certain absences must be justified by the employee before they are valid. This is the case for absences due to family events (marriage/civil partnership, death, etc.). You must then activate the parameter Absences on this account requiring supporting documentation in the account settings. To create or edit a leave account, please refer to this help page.
Adding and viewing supporting documents
Supporting documents can be added at the time of the absence request or later:
- By clicking on the absence period in the schedule on the Request page, or on the Schedule tab, then adding the supporting documents, via Drag and Drop or by selecting Choose a file.
- By using the Request history module, in the Personal follow-up section on the Request page.
Administrators can also add supporting documents directly from the Pending tasks module, in the Supporting documents to be checked section.
How to hide supporting documents from managers?
If you want to hide supporting documents from managers, you can restrict the visibility/addition of supporting documents to specific permissions, which you will add to administrator roles only.
In Settings -> Preferences, modify the "Supporting documents management" parameter by selecting "Depending on the permission to View and manage supporting documents". Then, in role management, check the "View and manage supporting documents" permission for authorized roles.
The default setting, "Supporting documents management -> According to absence details access", allows employees with the "View absence details" permission enabled (which is generally the case for managers) to view and manage supporting documents.
Note: The employee concerned will always have access to add/view the supporting documents for their own absences, even without permission.
As a payroll manager, can I be notified when a supporting document is downloaded?
No email notification is sent to the payroll manager. Uploaded supporting documents will be visible in Pending tasks.
