Before getting started
The analytical axis and their sections are created and edited in the settings wheel at the top right and then in Analytical axis. To be able to access this menu, you must have the permission to manage the analytical axis. If this is not the case, request this permission from your administrator or from the help desk.
In Lucca Expenses, a link from Settings > Analytical axis also provides access to this interface.
Viewing the axes and their sections
In the left pane, you can select an existing section and create new ones. There are three sections, i.e. Project, Sub-project and Cost center, here. These labels are arbitrary.
On the right, you can open the sections of the selected section. There are 3 in the "Project" section. The "New" button is used to add a new analytical section to the selected section.
Axis properties
Each section has many properties, which are displayed using the "Settings" button
The main properties of a section are:
- The section name is multilingual
- The "Display in user page" checkbox is used to define a default value for each employee on this section, directly in their user sheet.
- A section can be nested in another one (i.e. its parent). The "Parent axis" option is for managing this. Go to the chapter on nested sections below.
- The last two options are used to set out what to display to the user when they enter the analytical attributions of their expense: code or name, or both.
The additional fields of a section used in Lucca Timesheet are as follows:
- Description: it is displayed when hovering over an analytical section (client/project/task) in Lucca Timesheet
- Start and end date: they can limit the input. It will not be possible to attribute time before the start or after the end.
- Owner: they will systematically have access to the section in Lucca Timesheet and they will also have access to the activities entered by other employees on their own projects in the reports
Consequently, the duration and price are not used in Lucca Timesheet. (Lucca Projects does not synchronize this information either)
Please note: if you edit the name of an analytical section, the change will be applied to all timesheets included in this section, even those that have been submitted and approved. If you want to edit some of the information in the sections, we recommend that you create new sections.
The properties of an analytical section
When you create an analytical section, there are several pieces of information to be entered.
- The most important element is the code: this value, in particular, will be used in the accounting exports. The sections of a section must all have a unique code.
- The name of the project is used to display information that is more meaningful to employees when they enter their expenses.
- Access can be public (all the users can make attributions to the section) or restricted. In this second case, you can list the people, services or legal entities that can be attributed to the section. These restrictions are cumulative. For example, restricted to the "Marketing" department and the "Lucca" establishment means that all the employees of the "Lucca" company will have access to the section, as well as all the users of the "Marketing" department, regardless of their company.
- A section can be deleted, but only if nothing has been attributed to it. If this is not the case, it can only be archived, so that no new attribution can be made to it. To archive an analytical axis, you can refer to our Archiving an analytical axis help sheet.
Nested Analytics
Lucca manages the nested attributions. In the example below, the "Sub-project" section is a child of the "Project" section, the sections it contains are linked to the sections of the "Project" section, so that users can first select the project, then one of the sub-projects related to said project.
To define whether an axis is nested in another, the "Parent axis" field must be completed in its settings interface.
By default, a parent can have multiple children in the sub-section, but a section of the sub-section can only have one parent. The "Items can have more than one parent" option changes this behavior.
