A training plan lets you group together and schedule multiple training actions over a given period and to set a budget for it.
Creating a training plan
The creation and administration of training plans can be accessed with the "Administer Lucca Training" permission.
To create a new plan, click on "Add a plan".
You can enter your budget and the funding for your plan in the following step. To find out more about managing training budgets, check out this section of the help center.
You can also enter your first training sessions. A session is a scheduled training period, organized for one or more employees, for a given training course and provider. You can find more information on creating sessions in this help sheet.
Archiving or deleting a training plan
You can archive a plan only if all its sessions are closed and it doesn't contain any accepted requests pending registration.
If you created a plan by mistake and don't want it to keep being shown in the list of plans in progress or archived plans, you can delete it. You can delete a plan only if it doesn't contain any sessions and no requests have been accepted.
Further steps
You can edit the settings to restrict viewing and administration of training plans for each administrator. Restricting access rights is a good idea if you want to apply a higher level of confidentiality to plans, particularly for budget-related reasons.
To do this, you need to use these two settings:
- Establishments associated with a plan (screenshot 1);
- User roles (screenshot 2).
To find out more about roles, refer to the help sheet on role administration.
A user can view and administer any plans that include establishments associated with their role. The permission for administration of plans allows them to create sessions for these plans.
Frequently Asked Questions
1) I can't archive or delete a plan because it contains accepted requests. What should I do?
Go to the "Requests" tab in the plan and click on "Remove from plan" in the actions available for the request.
When you remove a request from a plan, it will then be visible in the "Pending requests" tab. The employees and their managers are not notified when you do this.
2) I can't delete a plan because it contains sessions. What should I do?
If your plan contains completed and/or closed sessions, you won't be able to delete them. Instead, you'll need to archive the plan. However, if your plan contains draft sessions or sessions that haven't started yet, you can delete them:
- If the session is set to "draft" status, click on "Delete session":
- If the session has been opened*, click on "Switch to draft status" and then delete the session:
*If the session is open and contains registered users, you'll need to deregister them before you can switch it to draft status.
3) Once a plan has been archived, can it be switched back to "In progress"?
No, the archiving of a plan cannot be undone.
4) Why can't I edit a training plan that I have access to?
To edit a plan (budget, funding, title, etc.), you need to have the permission to manage all of the establishments associated with that plan. You'll need to contact an administrator with the permission to manage all of the establishments associated with the plan in question to make any changes.
