Functionality and Implementation of the Connector with Softgarden

Description

The Softgarden connector allows for the automated creation of an employee in Lucca when a candidate's status changes to "hired" in Softgarden.

Prerequisites

Sending hired candidates to Lucca requires the activation of an export feature in Softgarden. Therefore, before finalizing the setup in Lucca, you need to contact Softgarden's support team to request this feature, as described in their technical documentation. Below is a template email to send to Softgarden support (support@softgarden.de) or directly to your Softgarden account manager:

Is it possible to set up our Softgarden app with a "Push" Candidate Export?

Here is the required information to set up the export:

  • Status change in Softgarden at which the export is to take place: hired
  • URL of the API endpoint of the third-party system that accepts the export: https://{YOUR_LUCCA_INSTANCE}/integrations/webhooks/softgarden/candidate-hired
  • Authentication information required by the endpoint: API Token (GUID)
  • Data format (JSON, XML) and structure that the endpoint expects: JSON
  • Any data fields that are required by the target system: all standard fields available

Don't forget to replace {YOUR_LUCCA_INSTANCE} in the email with your Lucca instance, formatted as "client_name.ilucca.net".

This connector is a paid feature. To activate it, you need to contact your sales representative beforehand.

Installation

1. Lucca : Install the connector in your Lucca account

Gear icon > Other Settings > Integrations

To install the connector in your Lucca account, go to the Integrations module.

If you don't have access to it, feel free to contact support to request this permission.

On the connectors page, click the "Add a connector" button, add "Softgarden," create a new configuration, and follow the guided steps. From a configuration, you can specify the establishment(s) covered by this synchronization.

Creating a Configuration > Permissions
In this tab, you will need to provide the Authentication Token (API Token) supplied by Softgarden.

About the Department
To ensure smooth synchronization, it's important to specify the default department where the employee will be created, as Softgarden does not have this information. To do this, go to the default settings in Lucca's HR Core (Collaborators > Settings > Default Values).

About the Establishment
The employee will be assigned to the establishment corresponding to the "company" field specified in Softgarden. It is important that this field matches one of the establishments in Lucca.

2. Lucca: Monitor the data flows between Softgarden and Lucca in your Lucca account

The connectors administration interface also allows you to track the integration flows of your installed connectors.

To do this, go to the "Logs" section. If you don't have access to it, it means your roles do not include the "Integration Administration" permission. Contact your administrator or our support team for assistance.

Synchronized Data

When creating an employee in Lucca, the following fields are synchronized by default:

  • Last Name
  • First Name
  • Establishment
  • Professional Email (based on the email template specified in the configuration)
  • Job Title
  • Personal Phone Number
  • Personal Email
  • Address
  • Contract Start Date
