Switch to Lucca version of contracts in the HR file

Before you get started

Contract templates and the standard Contracts section of the HR file enable you to archive, improve and adapt your employees’ contracts according to your internal processes.

This help page explains how to extract information from your customized section and import missing information, so that you can take full advantage of the available features, such as amendments, alerts and pre-employment declarations (DPAE), as well as other Lucca applications, such as dashboards.

Setting up contract templates

Go to the “Contracts” tab in the Core HR settings.

7 contract templates are created by default:

  • Permanent,
  • Temporary,
  • Internship,
  • Apprenticeship,
  • Temporary work,
  • Other contracts - internal,
  • Other contracts - External.

If you go to Settings Contracts, you can edit these templates and create new ones to suit your company’s needs. For each template, you can activate suggested data, such as end of trial period or reason for contract termination. This will enable you to improve your dashboard indicators.

Extract custom data

Once you have edited the contract templates to suit your organization's needs, you can then extract data from your customized sections, which contain information related to your employees' contracts.

You can create a customized report with the following information:

  • Contract start date ;
  • Establishment ;
  • Occupation category ;
  • Contract type (according to the templates you have previously set up);
  • Contract end date.

Then simply export the report in CSV format.

Import contract data

Importing contracts allows you to create bulk contracts for your employees or update existing contract data.

To create contracts, the following data is mandatory:

  • the employee login,
  • the contract type,
  • the contract start date,
  • the establishment.

Import contract documents

The standard “Contracts” section has recently been upgraded with a file data type. You can now import each employee's contract document via a file import: the main information from the employee's contract will now be centralized.

And that's it! You can make full use of the Lucca version of contracts, automatically send the pre-employment declaration (DPAE) for new recruits, or create contract amendments as required.

Bonus: Archive old custom data from the HR file

Go to your data management menu (Settings Data management).

To archive an item of data, such as “Employment contract”, simply click on the “Archive” button on the right-hand side of the screen.
