Configuring the reporting channel

Before starting

The reporting channel allows employees, former employees and any person outside the company to securely and anonymously report any act of non-compliance or misappropriation within the company.

A unique link gives access to the reporting channel from outside Lucca. Users can also access this from Lucca. The platform processes reports anonymously and confidentially. The platform only allows a report to be filed if the channel is configured.

Its installation and configuration are described below.

Accessing the configuration

  • Go to the role administration module. To access this, you need the permission "Administer roles".
  • We advise you to create a dedicated secondary role to manage access to the reporting channel settings. Assigning the permission "Configure the reporting channel" in the 'Lucca' application gives access to the channel settings page.

Please note: if you enable this permission for a principal role, a condition is necessary for accessing the configuration of the reporting channel: the role must be attached to all establishments (see the "establishment" tab for the role).

  • Important: as security and confidentiality measures, the role with the permission "Configure the reporting channel" is attached to all establishments ("Establishments" tab for the role in the roles admin). Without this, access to configuration will not be possible.

  • Assign the secondary role to the administrator who will be in charge of appointing owners to process and configure the reporting channel.

The administrators appointed have access to a special configuration page where they can activate or deactivate the channel for the specific legal units, manage supervisors, and customize the public page with the company logo and the confidentiality policies.

  • The permission enables a new entry in the menu ⚙️

Configuring the channel

  • Select the Legal Units in the dedicated tab, which may be selected from the channel

Accessing the reporting channel:

  • The administrator may share an Access link for the reporting channel.

Assigning owners:

  • In the "Owners" tab, you can add the persons who will be responsible for receiving and processing reports in the platform.

Once appointed, supervisors will have access to an overview of the cases reported, will be able to edit the case attributes, contact the whistleblower, and finally close the case.

Customize the reporting form page:

  • The final tab "Customization" allows you to enter an introduction to remind of your company’s rules and/or help your employees to file a report.
