[New interface] Configure the Timmi Timesheet approval workflow

Before you get started

Configuring the approval workflow has been modernized, so you now have more flexibility in configuration. 

You need to have the application’s configuration rights to configure the timesheet approval process in Timmi Timesheet. 

If you are a manager, team leader or timesheet approver and want to set up automatic approvals, you need to ask the person in charge of the solution in your company. 

Defining the approval process

Approval process settings are found in Settings > Approval process

You can now change the first approver in this brand-new interface: it does not have to be the manager!

You can set up a new approval step by clicking on Add a step above or below the default step 1. 

or each step, select a condition and an approver

Selecting the approver

You can choose from the following approvers:

  • the submitter's manager
  • the manager's manager
  • a specific approver (choose from existing users)
  • the timesheet approver
  • the head of department

If a step in the approval process requires the approval of the timesheet approver, a new field will appear in the HR file allowing you to enter the timesheet approver for each submitter.

Selecting the condition

You can choose the conditions under which the approver's validation will be requested:

  • always 
  • only when warnings were triggered
  • only when critical warnings were triggered
  • only when pay elements were accounted for
  • when pay elements or warnings were accounted for

Note: "Payroll variables" are times entered in payroll variables (VRI) accounts, as configured in Settings > Time accounts.

For example, if you have set up the "Annual package" account so that it is not a VRI account:

If an approval step has the condition "only when payroll variables are accounted for", the time entered on the "Annual package" account will not trigger the approval step.

Critical warnings" do not block the timesheet's submission by the submitter, but appear in red on the timesheet: the warning is therefore highlighted, enabling managers and administrators to be aware of unusual situations and take the necessary action. The goal is to guarantee the value of self-submission, while enabling managers and administrators to be informed of a critical issue. 

Tracking the steps

If a condition is not verified (eg. : no critical warning identified, no VRI submitted, approver not entered), the approver's approval is not requested and the step is automatically approved.

If there are further steps, the process moves on to the next step. As long as there are remaining approval steps, the timesheet will be in "pending approval" status.

Once the last step has been approved, the timesheet changes to "approved" status.

For example, with the below process, a timesheet will first be sent to the manager for approval, then to the manager's manager only if times have been entered to one or more time accounts:

You can find the approval history of a timesheet in the Time tab by clicking on the clock above the timesheet: 

Notification settings have been removed from the approval module. You will now find them in the menu on the left.
