HR data export: Generating the turn-around file for HR file edits

Before getting started

The Export feature in the "Employees" module lets you generate a turn-around file in Excel format listing edits to your employee's HR data, which can then be sent to your payroll provider (or a file in CSV format for importing into payroll).

To configure the export file in CSV format, refer to the help sheet on the topic.

Show details of the data most recently edited

The Export module can be accessed from the Employees menu and can be seen by users with the "Export modifications" permission for the "Employees" application (to be set up in roles).

Click on the turn-around file to access the details of the data to be exported.

By default, the module shows the details of the latest edits made since the date of the last export. If you haven't completed any exports previously, the module will ask you to enter the date from which you want to export the edited HR data.

You can see the list of edited data items:

  • The payroll number, first name, and last name of the employee concerned;
  • The name of the data field that has been edited;
  • The new value for the data item;
  • The date on which the data item was edited.

Generating an export of edited HR data

Click on Generate export files.

The files generated are displayed and can be accessed in the form of a download link.

  • A CSV file in the format defined in the export configuration.
  • An Excel turn-around file. It contains all of the edited HR data listed in the CSV file, in a format and layout that is easier to read.

Export history

Each export performed is logged with the associated files.

If needed, you can delete the most recent export to regenerate the corresponding export.
