How do I manage the departure of an employee in Figgo?

When an employee leaves, you must do two things: give him/her a contract end date so that he or she no longer has access to Figgo and settle all of their account balances. This will allow you to cancel their leave requests pending approval as well as future requests, reset their counters to zero, and export leave to be paid to the employee through Excel.

What tasks need to be completed when an employee leaves?

Attention, in the case where the employee is a manager, don’t forget to transfer their supervised employees to their new manager. To do this, click Transfer then select the new manager of the supervised employees. This can all be done in the user file of the employee in question.

When an employee leaves, you may have to export without waiting for their leave in payroll. This list contains approved absences not yet exported to payroll and allows you to know in the blink of an eye if you have to generate a export in the middle of the month from Interfaces > Export to payroll.

Absences approved after an employee leaves must be cancelled to avoid generating anomalies in their balances.

Once all future leave has been cancelled, you can reset all counters to zero in a single click.

A summary page of cancelled balances will be generated. You can also compare with your payroll software the number to days to be paid to the employee.

Note: Upon the first settlement of all account balances, you must select the offsetting account in the proposed list, usually the “All account balance settlement.” Figgo will remember this choice in the future.

The first thing to know is that it is not useful to create two user files for a single employee.

In fact, a user file is never deleted in Figgo. You can find someone at any moment by checking the “Include former employees" in the Co-workers > User file module. To reactivate it, simply modify or remove the end contract date from the file of the user in question and update the necessary information (start date, department, SPC, profile, etc.).

The file will then be reactivated for the employee and he/she will keep the old username and password.
