Before getting started
If you've signed up for our Poplee Core HR solution, you'll need to manage various types of data.
In your HR file, you can incorporate the default data items suggested by Lucca (first name, last name, date of birth, establishment, contract start date, etc.) or you can create your own data items.
Your own data items can be:
- Simple data items: a data item name and a value.
- Compound data items: multiple simple data items combined into a parent data item.
In both cases, you'll need to define whether one or multiple values will be accepted for an employee.
Simple data item
A simple data item is a data item with a name and either one or multiple values.
You can choose from the following formats: text, multi-row text, checkbox, list of values, date, attached file, hypertext link, whole number, or decimal number.
To find out how to create a simple data item, refer to this help sheet: Creating a simple data item in the HR file.
Compound data item
A compound data item is a set of simple data items grouped within a parent data item. The same formats are available for each of these data items.
Example: The compound data item "Emergency contact", which is composed of two fields in text format, "Name" and "Phone", along with a field in the list of values format, "Family relationship".
To find out how to create a compound data item, refer to this help sheet: Creating a compound data item in the HR file.
As we mentioned above, a data item (whether it's simple or compound) can be multi-occurrence. This means that multiple inputs are authorized for the same field.
Example:
The "Child(ren)" data item will be defined as "multi-occurrence" as an employee may have multiple children.
General Data Protection Regulation
The way you use this data may be subject to the stipulations of the GDPR, if it falls within one of the cases defined in its Articles 2 "Material Scope" & 3 "Territorial Scope" CNIL - General Provisions of the GDPR [in French].
If you are subject to the GDPR, your use of the data that you create must comply with the European General Data Protection Regulation. You are responsible for ensuring this compliance, and it is therefore important that you consider how you want to use this data before creating any data items. For further help, you can refer to the CNIL's guide: CNIL Framework - personal data management [in French].
The processing of data deemed sensitive under the terms of the GDPR—namely data concerning racial or ethnic origin, political stances, religious or philosophical beliefs, or union activity, along with any data concerning the health, sexual activity, or sexual orientation of a natural person—is not authorized in principle, with the exception of the cases indicated in Article 9 of the GDPR, as summed up in this article by the CNILDefinition of sensitive data [in French].
